Workflow
AI for admin and paperwork
The short answer
Much of what feels like admin is moving the same details between systems. That is usually an automation problem before it is an AI problem — and the cheapest honest answer is often a connection between two tools you already pay for.

The jobs inside this work
- Re-typing the same details
- Name, address, job number, into three different places.
- Processing forms
- Turning what a customer submitted into a record you can work from.
- Scheduling and confirmations
- Booking, reminding, rescheduling, chasing.
- Filing and finding documents
- Where did we put the certificate for that job?
- Reading invoices and receipts
- Pulling the numbers out so somebody can reconcile them.
- Weekly housekeeping
- The Friday hour of tidying that nobody bills for.
What AI can realistically help with
- Extract details from documents and forms for you to confirm.
- Move information between systems once, instead of you typing it three times.
- Catch obvious errors: missing fields, impossible dates, duplicates.
- Draft the confirmations and reminders.
- Keep a simple log of what was written where.
What should stay with a person
- Anything that becomes a financial record.
- Exceptions — an automation should stop, not guess.
- Approving anything that goes to a customer or an accountant.
- Deciding the rules the automation follows.
Risk and review
- A silent automation that gets it wrong repeats the mistake at speed. Build in a flag, not just a happy path.
- Extraction from scanned documents is good, not perfect. Check the figures.
- Multiple connected systems means multiple places where access needs reviewing.
